This policy covers personal information collected through occluradental.com. Clinical records from your dental care are handled under our patient records policy and Ontario’s health privacy laws.

We handle website personal information in accordance with Canada’s PIPEDA and, where health information is involved, Ontario’s PHIPA.

The two can overlap. If a message you send through the website happens to include health details, we treat it as personal health information and safeguard it accordingly, even though this policy mainly governs website data.

What we collect

We collect information in three ways: what you type into a form, what you send us on WhatsApp, and what your browser sends automatically.

When you fill in a form. The site has four forms — Contact, Appointment, a booking page used in our advertising, and a short booking form that appears beneath the contact buttons on our service pages. Between them they ask for your name, email address, phone number, and depending on the form, a subject, a message, the service you are asking about, and a preferred date. The short booking form on the service pages asks only for your name, phone number and email address.

Only the name, email and phone are needed to reply to you. Please do not use the message box to describe symptoms, conditions, medications or anything else about your health — see the section on urgent and clinical matters below. If you do include health information, we will treat it confidentially, and it may be moved into your patient record if you become a patient.

When you message us on WhatsApp. The contact bar at the bottom of our pages on mobile opens a WhatsApp conversation with the clinic. If you use it, we see your WhatsApp phone number, your WhatsApp profile name and photograph if you have set one, and whatever you write to us. We do not receive your WhatsApp account details, your contacts, or any of your other conversations.

Automatically. Like most websites, ours records your IP address, browser and device type, the pages you visit, how you arrived, and the date and time. Our host also keeps standard server logs. We use both to keep the site secure, prevent spam and fraudulent submissions, and diagnose faults.

How we use your information

We use what you send us to reply to your enquiry; arrange, confirm or change an appointment; answer questions about treatment options, fees and coverage, including the Canadian Dental Care Plan; keep a record of our correspondence with you; keep the website running, secure and free of spam; and understand how people find and use the site, so we can improve it.

We do not sell your personal information. We do not use it to send marketing emails or newsletters unless you ask us to.

If you become a patient, information you gave through the website may be added to your patient record, which is then handled under our patient records policy rather than this one.

Analytics and advertising

We use Google Analytics to see how many people visit the site and which pages they read, and Google Ads to measure whether our advertising brings people to us. Both set cookies and share information with Google LLC, which may store and process it outside Canada, including in the United States.

Google Analytics tells us things like visitor numbers, pages viewed and approximate location — it does not tell us who you are. Google Ads conversion tracking tells us that someone who clicked one of our ads later made a booking enquiry; it does not tell us which named person did so.

You can opt out of Google Analytics in any browser with Google’s browser add-on, and you can change what Google uses for advertising at Google Ad Settings.

Cookies

Cookies are small files a website stores in your browser. Ours are used for four things: keeping the site working (page caching and basic security, which cannot be turned off without breaking the site); analytics, described above; advertising measurement, also described above; and spam protection, where Cloudflare Turnstile stores a short-lived token in your browser to record that a form check has passed.

Essential cookies keep the site working. Analytics and advertising cookies help us understand and improve it, and are not needed for the site to function.

You can block or delete cookies in your browser settings. Blocking the essential ones may stop parts of the site working properly.

We do not show a cookie consent banner. This section, and the controls in your browser, are how we make our use of cookies clear to you.

Who we share information with

We share personal information only with the organisations that help us run the clinic and the website, and only as far as they need it:

  • Web Hosting Canada — hosting the website and the database that stores form submissions (Canada)
  • Google LLC — analytics and advertising measurement (outside Canada, including the United States)
  • WhatsApp (Meta) — messages you choose to send us through the WhatsApp button (outside Canada)
  • Cloudflare, Inc. — spam protection on our forms. Cloudflare Turnstile checks that a form is being filled in by a person rather than an automated script (outside Canada)

All of these third parties are required to protect your information and to use it only for the purposes we specify.

We may also disclose information where the law requires it, or where it is necessary to protect someone’s safety.

A warning about WhatsApp. If you message us there, the conversation is carried and stored by Meta under its own terms, on servers outside Canada, and we have no control over it. Please do not use WhatsApp to send photographs of your mouth or teeth, images of insurance or benefits cards, or any details about your health. Bring those to your appointment or call us.

How long we keep it

Form submissions are stored on the website itself as well as being emailed to the clinic. We delete them after 12 months. If you become a patient, the relevant information moves into your patient record and is kept for as long as Ontario’s rules for dental records require.

Google Analytics data is kept according to the retention period set in our Analytics account. Server logs are kept for a short period for security purposes.

WhatsApp conversations stay in the clinic’s WhatsApp account, and a copy stays on your own device, until they are deleted. Meta keeps its own record of the message under its terms, which we do not control.

How we protect it

The website is served over an encrypted connection (HTTPS), so what you type into a form is encrypted in transit. Access to the website’s administration area is limited to people who need it, protected by individual accounts and strong passwords, and changes are logged.

We use industry-standard safeguards, but no transmission over the internet is completely secure. That is why we ask you not to send health details by email or WhatsApp.

Your rights and choices

You can ask what we hold about you and get a copy; ask us to correct anything inaccurate; ask us to delete an enquiry you sent through the website; withdraw your consent to being contacted, subject to any legal or professional obligations we have; and opt out of analytics and advertising cookies using the links above.

One limit on deletion: if your enquiry has become part of your patient record, we may not be able to delete it, because professional and legal rules set how long dental records must be kept. We will tell you if that applies.

Write to us at bbeigi@occluradental.com or call (905) 851-0075. We respond within 30 days. If a request is complex and needs longer, we will tell you before that deadline and explain why.

If you are not satisfied with our response, you can complain to either of two offices. Matters involving your health information go to the Information and Privacy Commissioner of Ontario, which oversees PHIPA. Matters involving the website — analytics, advertising and the enquiry forms — may instead fall to the Privacy Commissioner of Canada under PIPEDA.

This website is not for urgent or clinical matters

If you have a dental emergency, call us on (905) 851-0075. If this is a medical emergency, call 911.

Forms, email and WhatsApp are checked only during clinic hours, and we cannot promise a quick reply. Please do not use them to describe symptoms, share medical history, list medications, or send images of your mouth or teeth. Bring that to your appointment or tell us by phone, where we can record it properly in your patient file.

Changes to this policy

We may update this policy as the website or our practices change. The date at the top shows when it was last revised. If a change materially affects how we handle your information, we will say so on this page.
